FOR INSTITUTIONS · IDENTIFIERS
Referencing SmellBook.
Every published entry has two lasting identities: a record number for people and a permanent identifier for machines, with a resolver address that always opens the current page. The examples use the entry Church Incense.
Three forms of one identity
| Form | Example | Use it for |
|---|---|---|
| Record number | SB-0074 | Short and readable: for labels, spreadsheets and conversation. Issued only at publication, in order, and never reused. |
| Permanent identifier | smellbook:smell:church-incense | The identifier to store in a database field. It names the record whatever its page address. |
| Resolver address | https://smellbook.com/id/smell/church-incense | The link to store where a URL is expected. It always opens the current page, or explains if the record was retired. |
Where to put it
| Where | Field | Value | Note |
|---|---|---|---|
| Spreadsheet or collection system with free fields | Three columns: SmellBook record number, SmellBook identifier, SmellBook link | SB-0074 · smellbook:smell:church-incense · https://smellbook.com/id/smell/church-incense | Keep all three: the number for people, the identifier and link for machines. |
| Dublin Core | dc:relation (or dcterms:references) | https://smellbook.com/id/smell/church-incense | The offline collection tool prints it for a whole file of records (export --format dc). |
| LIDO | descriptiveMetadata/objectRelationWrap/subjectWrap/subjectSet/subject/subjectConcept/conceptID (type URI, source SmellBook) | https://smellbook.com/id/smell/church-incense | Add a second conceptID of type local with the permanent identifier. The collection tool prints both (export --format lido). |
| Europeana Data Model | edm:isRelatedTo on your edm:ProvidedCHO | https://smellbook.com/id/smell/church-incense | The collection tool prints it (export --format edm), starting from your persistent object URI (heritageObject.uri), not the catalogue web page. This is not a full Europeana submission. |
| schema.org on a web page | about or mentions, with an @id | https://smellbook.com/id/smell/church-incense | Use the resolver address as the @id; do not copy SmellBook text into your page. |
| A citation in a publication | The entry citation with its revision | SmellBook. Church Incense (revision 2). smellbook:smell:church-incense. | The citation package for each entry gives BibTeX, RIS and the dataset release checksum. |
Rules that keep references working
- Store the permanent identifier or the resolver address, not the page address: page addresses can change, identifiers do not.
- A record number (SB-XXXX) is permanent and never reused, even if an entry is retired.
- A retired identifier answers with HTTP 410 and names its successor when there is one; update your record to the successor.
- Draft entries have no record number and no identifier until they are published; do not invent one.
- Only SmellBook issues SmellBook identifiers. To identify your own records, use your own identifiers.
All identifiers and their status: the identifier registry and the permanent identifier ledger.
